Office Admin & Reception
OVERVIEW
We are recruiting for an energetic, personable individual for the position of Office Admin & Reception. This is a two-person front-desk shared role, the face of the Company repping our Brand, making clients & guests feel welcome. With a friendly, welcoming, and engaging personality, you are at ease with a professional demeanour. You will manage a multi-line Teams phone system for a 40+ office setting, process documents and mail, manage the office supply inventory, data entry, maintain and improve office systems and procedures, and perform general clerical functions. This is a Monday to Friday full-time position 8 am to 5 pm.
IN THIS SHARED ROLE YOU WILL
- Manage a multi-line phone system for 2 companies
- Greet and announce guests
- Make boardroom and other reservations
- Organize lunch for meetings
- Update Outlook calendar
- Keep the office & kitchen in a tidy appearance, preparing for daily needs
- Maintain office supply inventory, best pricing negotiation, and place orders
- Process outgoing & incoming fax documents, courier, mail and updating postage machine
- Document management – File, scan, help with annual file rotation
- Initiate service repair calls for office copiers/equipment
- Create and maintain various forms of data in a spreadsheet format using Excel
- Data entry to Sage 300 CRE software
- Office errands, as needed.
REQUIREMENTS
- Post-secondary education in Office Administration
- Great people skills, friendly and well-organized
- Proficiency in computer skills (MS Office Excel, Outlook, Word, Power Point)
- High degree of accuracy with data entry functions. Sage 300 CRE an asset
- Strong problem-solving skills, and mathematically inclined
- Must have exceptional English communication skills (verbal and written)
- Self-confidence in skills to work with minimal supervision

Tasks You Will Work On
- Using tools for the trade (hammer, tool belt, tie breaker), wearing protective personal equipment (hard hat, safety vest, protective eye wear) the job consists of breaking form ties to remove Duraform Panels from Concrete Foundation Walls in both commercial and residential builds.
- Load and unload materials onto or from the truck or form cages
- Installs and removes form ties, bracing, and platforms
- Lifts heavy materials or objects by manual lifting
